A step by step guide to mastering the Circulation Desk

Computer #2 - Check Out and Returns

Computer #2 is the main location for Circulation Students.  This is where you should sit if you are at the desk alone.  This computer is to Check Out and Return all non-reserves items.  Below are basic, step by step instructions, on how to check out and return items from this computer.  

Check Out

 

  1. There are three ways to locate the checkout screen.
     
    1. Option A: Click the  icon to the right of the Alma logo, then navigate to .

      - OR -

       
    2. Option B: From the Alma dashboard, click Manage Patron Services next to Recent Pages.


      - OR -

       
    3. Option C: Click the FULFILLMENT heading and navigate to Manage Patron Services.

       
  2. Here you will  enter their 7-digit ID number and click Go.

     
  3. Once the patron record opens, make sure you are on the Loan tab (this should be the default).

     
    1. If it DOES have RFID (red dot on the barcode): Hold the item over the RFID Pad.
       
    2. Note that all circulating materials should have RFID except: Equipment, picture file, study pictures, VHS tapes and items in Closed Stacks.
      1. If it DOES NOT have an RFID Tag scan the item’s barcode.

  1. Now the items are listed under the patron’s account.  Look at the due date for the item and convey this information to the patron as well as stamping the item with the corresponding stamp.


 

  1.  Once all items are checked out, they will appear in the User Record and you will click Done.

 

Check Out - Interlibrary Loan

When a patron comes to pick up a book on Interlibrary Loan ask for their last name and go to the shelf in the back of the Circulation Desk for Interlibrary Loan Materials.  The books are sorted by Patron’s last name and the shelves are marked accordingly.  There are two type of Interlibrary Loan books and they are checked out differently.

EZ Borrow Books

  1.  EZ Borrow Books have a blue band and look like this.  You do not need to do anything in Alma.

     2.  Have the patron sign and date blue sheet of paper that is taped onto the blue band.  The due date is already on the blue band.  Give the            patron the book and put the blue sheet of paper on the Interlibrary Loan Cart.

Illiad Books

  1.  Illiad Books have a yellow sticker and a yellow piece of paper on the front and look like this.

  1. You do not need to do anything in Alma.
  2. Have the patron sign and date yellow sheet of paper that is taped onto the sticker.  The due date is already on the yellow sticker.  Give the patron the book and put the yellow sheet of paper on the Interlibrary Loan Cart.

Interlibrary Loan Returns

When a patron returns an Interlibrary Loan book, it is checked in placed on the Interlibrary Loan Cart.  There are two type of Interlibrary Loan books and they are checked out differently.

EZ Borrow Books

  1.  EZ Borrow Books have a blue band and look like this.

  1. You do not need to do anything in Alma.
  2. Red Stamp the blue band with today’s date.

Illiad Books

  1.  Illiad Books have a yellow sticker and look like this.

 

 

  1. You do not need to do anything in Alma.
  2. Red Stamp the yellow sticker with today’s date.

Renewals

Renewals

When a patron comes into to renew an item, they do not need the item just their ID or 7 digit barcode.  They can also renew online from our website (lib.mansfield.edu)

  1. There are three ways to locate the checkout screen.
     
    1. Option A: Click the  icon to the right of the Alma logo, then navigate to .

      - OR -
       
    2. Option B: From the Alma dashboard, click Manage Patron Services next to Recent Pages.


      - OR -
       
    3. Option C: Click the FULFILLMENT heading and navigate to Manage Patron Services.

       
  2. Here you will either scan the patron’s ID or enter their 7-digit ID number and click Go.

     
  3. Once the patron record opens, make sure you are on the Loan tab (this should be the default).

1. The patron’s loans should be listed when you pull up their record.  Check which items you want to renew and click Renew Selected, or Renew All if you want to renew all the items checked out to the patron.


 

  1.  If it renews the item successfully you will get this message at the top of the screen.

Special Notes about Check Out

1.      This is very important!  If you are not seeing the Manage Patron Services or Return Items tabs check your location in Alma.  If you are not at the Circulation Desk it will not allow you to check things out!

2.      Make sure to use the 007 login at Computer #2 and do no Reserve functions under this login.

3.      If you scan a patron’s barcode and it comes up Patron Not Found, enter their 7 digit ID.  This number never changes whereas the barcode changes every time a student gets a new ID. 

4.      If it comes up Patron Expired, you must get the student’s information and check with your supervisor or leave a note.

5.      This means we will only need to use the Add a Patron form on the clipboard on rare occasions.

6.       When you scan items with multiple pieces a Fulfillment Note will pop-up telling you how many pieces are in the item, click Confirm.

7.       An item not in the catalog will relay the following message:

8.       Use paper check out on the clip board, be sure to put it in your supervisor’s inbox.

9.       Make sure you are checking due dates carefully when you give items to the patrons.  Remember the Faculty/Staff due date stamp (semester long) is only for regular bookstacks items not B&T’s, CD’s or DVD’s.

10.  If a renewal does not work, it is probably because they already renewed it twice, but if there is a problem leave a note for or ask your supervisor to take a look at it.

11.  When patrons are picking up an Interlibrary Loan book they will often use the wrong terminology. 

    Customer Service Moment:  Be patient with them and help them figure out what they are looking for.

Returns

  1. There are three ways to locate the return screen.
    1. Option A: Click the  icon to the right of the Alma logo, then navigate to .

      - OR -
       
    2. Option B: From the Alma dashboard, click Return Items next to Recent Pages.


      - OR -
       
    3. Option C: Click the FULFILLMENT heading and navigate to Return Items.

 

 

  1. This is the screen you should see to return items.


 

  1. If it DOES have RFID (red dot on the barcode): Hold the item over the RFID Pad.

  1.   Check to make sure the item comes up in Alma, then red stamp it with today’s date and put it on the appropriate re-shelving cart (in call number order).


     
  2. Be sure to read ALL pop-up notes. Some items may need to be put aside for Nichole or another employee for any number of reasons – repair, incorrect call number, it is on hold for someone, etc. Or the note could simply inform you that the item has a temporary location, or should have eight pieces (not the seven in front of you). PAY ATTENTION so items end up where they belong!

            4.  HOLDS

If a patron has a hold on an item that is returned there will be a pop-up and a slip will print from the HP Printer by Computer #1, place the slip and the book on the hold shelf.

             

 

Special Notes About Returns

This is very important!  If you are not seeing the Manage Patron Services or Return Items tabs check your location in Alma.  If you are not at the Circulation Desk it will not allow you to check things out!

3.       Checking Materials In:  Make sure you check in each item by checking the screen for the titles.  It is a Customer Service nightmare when a student comes in to let us know that they returned an item that is still listed as checked out to them.

6.       RED STAMP – Make sure you red stamp everything that is returned.
