Access to MU Archives

Access to Mansfield University Archives Policy

  1. All requests for access to the Library Archives must begin with the Library Director, or the Archives Technician.
  2. Archival materials may be retrieved only by an Archives Technician, the Library Director, or a designated library employee via the Library Director.
  3. Everyone entering the Archives must sign in on the log.  The purpose of the visit must be logged in as well.  This is to show usage, track activity, and accountability.
  4. Archival materials are non-circulating and must be used in the Archives in full sight of library archives staff.  Tables are available for this use.
  5. Nothing leaves the Archives without being escorted by the Archives Technician, the Library Director, or library archives staff.  Anything that leaves the Archives must be accounted for in the log.
  6. Decisions about whether an item can be photocopied are made by the Archives Technician, the Library Director, or library archives staff.  No photocopying shall be done by the patron.
  7. Use of photographs copied from the Library Archives for a student, or research project must:
    1. Be for an approved project,
    2. Be requested for in writing, and
    3. Must have the North Hall Library Archives in the citation.
  8. The Library may place restrictions on use of certain materials, including:
    1. Books, newspapers, photographs, and any other materials that are fragile.
    2. Corporate records: both administrative and operational records in the University Archives.
    3. Records with prior restrictions placed by the donor.
    4. Any items designated “in process” by the Archivist, or Archives Technician.
  9. The University has a right to ban users from access to the Archives. This includes, but is not limited to having behaved irresponsibly, in relation to materials owned by Mansfield University.
